Under this tab, you can define and select custom Text and Hints for the calendar view.

"Text" refers to the text visible in the appointments, i.e. the color-coded portions of the cells. "Hints" are the text boxes that pop up when you hover your mouse pointer over a particular cell.  

There are additional examples of Text and Hints at the end of this topic.

NOTE: The Text and Hints available in this edit form will vary, particularly depending on the View Type and Group Type you selected.  

These instructions will describe the various different Text and Hints options, but remember that you may not see all of the described options, depending on the View Type and/or Group Type.

There are already defaults set for Text and Hints, so you do not need to define them if you are satisfied with the defaults.

Except for Event Location Text and Opportunity Text, you can leave the Text or Hint fields blank. If you leave them blank, the calendar view will use the built-in default.  

oEvent Location Text and Opportunity Text are exceptions, as you must either select a pre-defined format, or select a Custom text option.  This is described in more detail below.

If you want to display different information, you can create and customize your own Setup Calendar Text items.  However, note that if you want the most efficient calendar loading speed, it is recommended that you use the default text whenever possible, and use custom text only if necessary.

The length of time that a hint stays visible while the mouse pointer hovers over a given cell is determined by your User Settings under Options > Operation > Calendar Hint Pop-Up Duration.

1.Event Location Text Format: The Event Location Text Format field has several pre-defined options from which you can choose, in addition to a Custom option.

a.If you want to use a pre-defined format, select one from the drop-down: Event Name, Event Name Location, Book No Event Name, Times Event Name Status, etc.  Note that if you choose one of the pre-defined formats, the Event Location Text field below is deactivated.

b.If you choose Custom, the Event Location Text field will activate below, and you must choose an option from that drop-down.

IMPORTANT: If you select the Custom option, you must select one of the custom-designed text options from the Event Location Text drop-down.  If you select Custom, and leave the Event Location Text field blank, the Event Location appointments will be blank.

2.Opportunity Text Format: Similar to Event Location Text, the Opportunity Text Format field has several pre-defined options from which you can choose, in addition to a Custom option.

a.If you want to use a pre-defined format, select one from the drop-down: Description, Description Status, Times Description, etc.  Note that if you choose one of the pre-defined formats, the Opportunity Text field below is deactivated.

b.If you choose Custom, the Opportunity Text field will activate below, and you must choose an option from that drop-down.

c.IMPORTANT: If you select the Custom option, you must select one of the custom-designed text options from the Opportunity Text drop-down.  If you select Custom, and leave the Opportunity Text field blank, the Opportunity appointments will be blank.

3.For any of the Text or Hint fields, click the drop-down next to the Text or Hint that you want to customize.

The field name indicates the type of cells for which the Text/Hint will appear (e.g. Event Location Text, Event Location Hint, Restriction Text, Restriction Hint, Event Status Text, Event Status Hint, etc.).  If that particular field is not visible in the view, its Text and Hint field will be greyed out and unavailable.

Remember, as noted above, you do not need to select or define any of the Text or Hint options if you are satisfied with the defaults.  If you leave the Text or Hint fields blank, the calendar view will simply use the built-in default (except for the Event Location Text field, as explained above).

4.If you have defined any custom Text or Hints for that particular type of cell before, they will appear in the drop-down, and you can select one now.

5.To create an entirely new Setup Calendar Text or Hint, click the New button at the bottom of the drop-down.

a.When you create a Text or Hint for a certain cell type, it will appear as an option in the drop-down list for both the Text and Hint of that cell type, in this view and any other views with that cell type available.  

b.For example, if you create a new Event Location Text, that Setup Calendar Text will be available for selection in both the Event Location Text and Event Location Hint drop-downs, in the view you are currently creating, and when editing any other Calendar View that has Event Location Text and Event Location Hint available.

6.The Setup Calendar Text window opens.

a.Enter a Name for this text.

b.You will most likely want to add Merge Fields to the text to automatically pull in data from the Event, Location, Event Manager, etc., which means you need to work in the Word Processor.

c.Click the Word Processor button to open the Word Processor.

7.In the Word Processor, type in the text you require, and insert the Merge Fields you want to use from the panel along the right.  

a.You can drag-and-drop the Merge Field from the panel into a place in the text, or you can place your cursor in the text where you want to insert the Merge Field, and double-click the relevant Merge Field in the panel.

b.The table of Merge Fields available will vary, depending on the cell type for which you are defining text - Event Location, Venue Location, Setup Event Status, etc.

c.When you are done with the Word Processor, click Save.

8.Back in the Setup Calendar Text window, you can click Save and Close to return to the Setup Calendar View edit form.

9.If you need to edit one of the custom-defined Text or Hints, select that Text or Hint in the drop-down, and click the Open Object button to the right (if you have the applicable User Security Permissions). The Setup Calendar Text edit form will open, where you can make the changes you require.  Remember to Save and Close this edit form, as well as the Setup Calendar View edit form.

10.Continue creating and selecting Text and Hints for the Calendar View, as you require. Remember to save the Calendar View edit form.
