2-Way Sync Event Clients & Users

Event Clients:

oWhen syncing events from Google/Exchange back to EventPro, the Two-Way Sync Calendar Assistant will go through a certain process to determine which Account will be set as the Event Client.

oIn order to create an event on a Google or Exchange Calendar, a person has to log in with their Google/Exchange email address. When the person creates the event in the Google/Exchange Calendar, that person's email address will be recorded on the Google/Exchange event.

oWhen syncing the Google/Exchange event back to EventPro, the Calendar Assistant will search EventPro for that email address and assign the Event Client/Contact in this order:

1.The Assistant first searches the email accounts of EventPro Users (Named and Concurrent), looking for the email address used to book the Google/Exchange event. Review Security Setup > Users > Create New User > Email Accounts. Note that the matching email address does not need to be a Primary Email account.

2.If the Assistant finds a User with the matching email address, and that User's linked CRM Account is a Contact, the User's Contact will be set as the Event Client Contact. The Company that the User/Contact belongs to will be set as the Event Client.

3.If the matching-email User's linked CRM Account is a Company, or the Assistant can't find a matching User, it will next search CRM Contacts by Primary or Alternate Email addresses.

4.If the Assistant finds a Contact with a matching email address, the Contact will be set as the Event Client Contact, and the Contact's Company will become the Event Client.

5.If the Assistant can't find the email address among Users or CRM Accounts, it will set the Event Client to the Default Account in Event System Settings.  Review EventPro Setup > Events > Events System Settings.

oTherefore, if you want the Calendar Assistant to be able to find the correct Event Client, ensure that you have the relevant User and/or CRM email accounts set up in EventPro.

Users:

oBooked By:

If the event is booked with an email address set as an EventPro User's email account, as described above, that User will be set as the event's Booked By User in EventPro.

If the Assistant can't find a User with the matching email address, the Virtual Assistant User will be set as the event's Booked By User.

oEvent Manager:

If the "Automatically Assign Events to User Creating the Booking" system setting is on (EventPro Setup > Events > Events System Settings), and the Assistant finds a User with the matching email address, the User will be assigned as the Event Manager when the event is synced to EventPro.

If you have a Default Event Manager set up in System Settings (EventPro Setup > Events > Events System Settings), that will be the Event Manager assigned to events synced back to EventPro.

If neither of those options apply, the Virtual Assistant User will be assigned as Event Manager.
