EventPro Software User Manual

There are three main areas under the Contact's Contact Information tab: Addresses, Phone Numbers, and Email Addresses.

1.Addresses:

a.You can enter several different address for the Contact: Primary Address, Billing Address and Alternate Address.

b.Use Parent Addresses: Select this checkbox if you want to use the Contact's Company addresses as the Contact's addresses. The Contact must actually be linked to a Company in order for this option to be available. You will not be able to manually add address information if you select this checkbox.

c.Manually Enter Addresses: To manually enter the relevant addresses for the Contact, ensure that the Use Parent Addresses checkbox is not selected.

i.Click the ellipse next to the Primary Address, Billing Address and/or Alternate Address field to open the Address edit form.

ii.Fill in the address information.  

iii.The City, State and Country must be selected from a drop-down list, which is populated by the records entered in EventPro Setup under General > Countries, States/Provinces and Cities.  

iv.Click OK when you are done entering the address to return to the Contact edit form.

2.Phone Numbers:

a.You can enter several different phone numbers for a Contact: Primary, Mobile, Home, Other and Fax.

b.Use Parent Phones: Select this checkbox if you want to use the Contact's Company phone numbers as the Contact's phone numbers.

i.Remember, the Contact must actually belong to a Company for this option.

ii.You will not be able to manually add phone numbers if you select this checkbox, except for the Home phone number, which is unique to the Contact. You can still enter a Home phone number for a Contact using Parent Phones.

c.Manually Enter Phones:  To manually enter the relevant phone numbers for the Contact, ensure that the Use Parent Phones checkbox is not selected, and type in the applicable phone numbers for this Contact.

3.Email Addresses: You can enter two different email addresses for a Contact: Primary Email and Alternate Email.

Note: One potential use of the Alternate Email address is for creating mail merges sent by Fax.  Some internet service providers can provide faxing capabilities or you may be able to configure your email server to send and receive faxes.  Enter the applicable fax/email information in this field if you want to later use it for sending fax campaigns.

a.Use Parent Emails: Select this checkbox if you want to use the Contact's Company email addresses as the Contact's email addresses.

i.Remember, the Contact must be linked to a Company for this option.

ii.You will not be able to manually add email addresses if you select this checkbox.

b.Manually Enter Emails: To manually enter the relevant email addresses for the Contact, ensure that the Use Parent Emails checkbox is not selected, and type in the applicable email addresses for this Contact.

If you want to add multiple email addresses for the Contact, type them in separated by semi-colons.
